Sales and service automation

Sales automation that starts with one process

We design one sales or service process with your team, then make its repetitive steps run on their own: follow-ups, lead routing, CRM updates, reminders and reports.

Sales and service automation

Why we start with one process

We start sales automation with one process you know well, such as following up a lead after their first message, or reminding a customer about a delivery date. We map its steps as they happen today, agree with you what runs automatically and what stays with the salesperson, then build it and connect it to your CRM and channels.

In this service, AI takes what repeats: lead follow-up with messages that follow rules you set, updating the customer record after each conversation, and reminding the salesperson about anything overdue. Designing the process and writing its rules is the team's work, and none of it runs until you approve it.

When your sales process starts in marketing, we connect marketing automation to sales: a lead from an ad or a form on your site goes straight into the CRM, is routed to the right salesperson and enters follow-up. Service automation works the same way: every request or complaint is logged, assigned and followed until it's closed.

Who it's for

  • 01

Small sales teams with a lot of enquiries

A team following many leads across several channels, and losing some because the follow-up came too late.

  • 02

Companies with a CRM nobody updates

The system is there, but its data is incomplete because updating it is manual, so nobody trusts its reports.

  • 03

    Businesses that rely on ads

Campaigns that bring in leads every day, each of whom needs to reach a salesperson and be followed up before their interest cools.

  • 04

    Service teams with open requests

Enquiries, requests and complaints that need logging, assigning and chasing until they're closed, rather than relying on someone's memory.

FAQ

Answers before you ask

The questions we hear most before work starts.

  • It depends on the process, the number of tools we connect, the number of rules and messages, and the level of monitoring once it's running. We don't publish fixed prices. After a short call in which we sketch the process, we send a written proposal with the scope and cost. Because we start with one process, you know the cost of the first step before any expansion.

  • Because every process has rules and exceptions that only show up fully once it runs. Starting with one lets your team learn how it works, lets us correct the rules quickly, and lets you see what changed before we add another. Processes that overlap and are built together become hard for anyone to troubleshoot or explain.

  • It depends on the number of steps in the process, the tools we connect and how clear your rules are, and we set the timeline in the written proposal once we've mapped the process. Starting with one process makes the schedule clearer, because the scope is limited and known from the start. We estimate each later process separately before we begin it.

  • We work with CRM systems that allow connection through an API, and we check yours on the first call before you commit to anything. If you don't have a CRM, or yours can't be connected, we help you choose a suitable alternative or build a custom one through Graphicatech's CRM and custom systems service.

  • No. The wording, the timing and who receives each message are written into the rules document and approved by you before anything runs, and any change goes through you. We follow each channel's policies too: messages your business starts on WhatsApp use approved templates and go only to people who opted in, and emails include a way to unsubscribe.

  • We need someone who knows the process and can approve the rules, usually your sales or service lead, and access to the tools involved: your CRM, WhatsApp, email and calendar. It also helps to see your current message templates if you have them, and an example of the report you want. Whatever isn't written down, we write with you while mapping the process.

  • We give each step only the permissions it needs, and agree with you which data moves between tools and where it's stored, with Saudi Arabia's Personal Data Protection Law (PDPL) in mind. Accounts and data stay in your company's name, and we document every connection so you know where your data goes and who can reach it.
